Integrating Smart Activity Management with Gmail

This is a paid function depending on your contract. If the menu is not displayed and you’d like to use this function, please contact your sales rep or the Sansan Support Center.



This function can automatically extract and show activity, in the form of contact points, from Gmail emails. This information can then be used to manage relationships with people, companies, and users. A Sansan admin needs to activate the function and select users.
*The service integration settings need to be configured to start use.
*Email data imported as contact activity cannot be deleted. Be sure to double-check the users to be integrated.

1. Register service account key file (unnecessary if already set up)

2. Open the service integration page

After issuing a service account key file (JSON file), go to Admin settings → Integration with other services → Google, and upload the account key file issued in step 1 to Gmail.

*The service account key file is shared by both Contact Inbox and Smart Activity Management.


2. Enable Smart Activity Management


1. Enabling

After registering the service account key file, go to Admin settings → Smart Activity Management → Google Workspace, check Enable and save.
An admin email will be sent notifying of the activation.


2. Enabling function for users

Using the checkboxes, specify which users will have access. Then choose to start the integration. Integration can also be started for each user individually.

*All users in a contract can view information extracted from the associated user's email.
*Once extracted, the information cannot be deleted.


About linkage errors


Status Reason
Authentication error

Service account key is invalid
Service account key has been deleted
The target user's account does not exist in Google Workspace™

Unauthorized Service account does not have permission to see the target user's Gmail™
Linkage error

An error has occurred for a reason other than the above. If the problem persists after retrying, please contact us here.


How to disable the feature for users


Please click on 'Unlink' for specified users.


Display settings

From Common settings Display settings, you can set whether information extracted from emails by Smart Contact Management is shown in the activity history.
