Our approach to data entry
To maintain service at a level of quality fit for use by many client companies, Sansan sets input rules with consideration for the balance among input cost, input accuracy, and delivery speed.
We publish representative input rules in the footer of the page after logging in to Sansan from a PC browser, but we also keeps some input rules non-public, as proprietary expertise.
We also use the Digital Japan Basic Map (place name information) residential address data issued by the Geospatial Information Authority of Japan (GSI) in the digitization process with the approval of the GSI Director General (approval no. 588, 2018).
As we optimize our business card digitization process for a scale upward of tens of thousands of cards per day, we may not be able to accommodate some customer requests. We would appreciate your understanding.

Q: Is it possible to enter items other than those listed in the Terms of Use?
Increasing the number of input items makes the input rules more complex, which in turn lowers input cost efficiency, input accuracy, and delivery speed. We determine the items to enter based on the criterion of what information is common to many business cards.
Q: Is it possible to infer and enter information based on information surrounding the input item?
Sansan splits target items into small pieces and enters them that way to maintain security. Because the operator cannot view information in other pieces, there are cases where the full card would make the correct entry clear, but the operator cannot make that judgment from the visible piece alone.
We work to maintain and improve the service level stated in the Terms of Use, including cases such as these.
Q: Is it possible to make specific revisions?
We revise entries when they do not follow the input rules. To prevent incorrect updates, if the user has already modified information on a certain business card, we will not update it. Please note that we cannot make corrections in cases where the entry follows the input rules but does not match the customer’s expected result.
Q: Why can the input results differ even for the same business card?
We share our detailed input rules with our data entry operators. However, these rules cannot fully cover some business cards. As a result, variations may occur in the input results. We have tens of thousands of operators who enter data based on the input rules, but these operators only see divided pieces and cannot tell which user registered the business card. Therefore, judgment can vary even when operators enter the same business card based on the input rules.
When there is a variation, it is usually difficult to say which result is correct, so we apply a uniform rule of not correcting delivered data if the information was entered based on the input rules. We will review the input rules as appropriate when their revisions can prevent such variation.
