Setting categories for Reports

Administrators can set in advance the items that need to be registered in contact reports (such as purpose of visit, proposed product). By doing these settings, the content of the contact reports can be organized, and thus the searchability of the contact report will be improved.

Here we will show how to set categories. For how to set the template that will be displayed in the memo section, see here.

 

Note

-To use this function, system administrator level permission is needed.
-Effects of changing or deleting category names and item names on already registered contact reports
  Changing category name or item name: The new name will be displayed.
  Changing the order of the item names: No effect.
  Deleting category or item names: these will also be deleted from contact reports already registered.
-You can set 3 types of categories, 20 items for pull down menus, and six different types of templates.

Procedure

Common procedure

Click on "Admin Settings", then on "Reports Settings".
 

 

Creating categories

1. From "Select Category", select "Unspecified", and then type in the category name. Click on "Update".

* Category names can be up to five characters.

 

2. Put a check in the checkbox on the Confirmation screen, and then click "Save".

 

Creating an item (an item inside the pull down)

Type in the item you would like to display for the category in question in the field on the right, and then click on "Add".

 

Changing category names

1. From "Category settings", select the category you would like to change, then change the category name, and then click "Update".

 

2. Put a check in the checkbox on the Confirmation screen, and then click "Save".

Changing items (items inside the pull down)

1. When you click the item, Action buttons that can be used for that item will come up.

-When changing item names, type in the item name, and then click "Update item name".
-When changing the display position of the item, click on "Go Up" or "Go Down", and then click on "Update item name".


2. Put a check in the checkbox on the Confirmation screen, and then click "Save".

 

Deleting items of categorie

1. For categories: Select the relevant category from "Category selection", and then click on "Delete".
For items: Click on the item you wish to delete, and delete them one by one. If you delete all of them, the category itself will also be deleted.

 

2. Put a check in the checkbox on the Confirmation screen, and then click "OK".
