What OCR data is, the instant transfer process, and what to be aware of

Immediate transfer using OCR data can be applied when you would like to register meeting information on Salesforce right after you register cards in Sansan.

 

What OCR data is

OCR data is data from the image is changed into text using the automatic processes of the computer.
* As this process is not very accurate, the information may in some places be different than what is printed on the business card.
* Until the data input is complete at Sansan, OCR data is used temporarily. After the data is input, the accurate data will overwrite the OCR data.

 

Transfer Condition Settings

Make sure the creation rule for duplicate records in Salesforce duplicate administration is set to "Allow".

 

Salesforce settings for using Immediate transfer

1. Scanning business cards

2. OCR data is created in Sansan

3. OCR data is sent to Salesforce
* At this time, new data is created in the target Salesforce object, so operations such as connecting information to the meeting can be done in Salesforce.
* If this is OCR data, the custom field in Salesforce will include a check for "Data being input".

4. Data input is completed.

5. Accurately input data will overwrite the data in number 3 in Salesforce.
* The check in the custom field in Salesforce saying "Data being input" will be removed.
* Please be aware that the contents that were in the field being transferred to will be overwritten without being saved.

6. The Same-name recognition process in Sansan is completed. 

7. When the conditions for being the same person are met, the Salesforce information will be brought together under one person, containing the most recent information.
* Please be aware that the contents that were in the fields being brought together will be overwritten without being saved.

Conditions for recognizing as same person Company ID / PersonID Other than ID ("Account" name or email address)
Records that will be affected

The following objects, when the conditions for recognizing as same person are met:
- Objects that were created with immediate sending - Most recent objects of those created by transfer from Sansan in the past

The following objects, when the conditions for recognizing as same person are met:

- Objects created by means other than transfer from Sansan

Definition of most recent information

1. Personnel change date is newer
2. Business card date received is newer (If number 1 is the same, number 2 will be used).

Cautions for immediate transfer

1,Depending on the results of the OCR data processing, some transfers will fail. In this case, the OCR data will not be transferred, but instead the data after input processing is done will be sent.

Example: If the following is sent, it will cause an email address format error, and not be sent.

2,This will only be done with automatic transfer. Manual transfer does not handle this.

3,If there are multiple instances in "Accounts", "Contacts", or "Lead", "Do not update (do not transfer anything)" will not be an option. All of them will be updated.
