Overview of Business Card Settings Object

In the Business Card Settings object, you can configure mapping conditions at both the object and field level for integrating Sansan items into a Salesforce account, contact, or lead. This page gives details on recommended settings and on items' meanings so you can get the best out of your Salesforce integration.

Settings Items Explained

1. Associate business cards
Put in a checkmark to allow business card association. By associating business cards, Contacts and Leads can traced back to who initially exchanged business cards. Text digitized in Sansan can also be transferred over to Salesforce. *By default after installation, there is no checkmark.

2. Create new accounts, contacts, or leads from business card data
Placing a checkmark will let you create a new account, contact, or lead from the business card data. When unchecked, you can only link to existing accounts, contacts, and leads.

3. Adding business card information
Placing a checkmark will allow you to add or update business card information to an existing account, contact, or lead. When unchecked, business card information will not added to existing accounts, contacts, and leads, and can only be associated.

4. Add business card information in a batch
For multiple business cards, you can add information (overwrite and update) with the [Batch Associate] button. If it is unchecked, information will be posted with business card data when creating a new opportunity.

5. Set a campaign when creating new accounts, contacts, or leads
When you associate a new business card with a lead, you can also associate it with a Campaign at the same time.

Settings Items Explained
1. Prefix for dropdown list in batch association screen
When you select multiple business cards and click the [Associate] button, you can use the dropdown menu to select which information to be associated. When searching for possible associations, you can assign different prefixes depending on whether the person is a contact or lead. By default, contacts start with "C" and leads start with "L". Up to 5 characters can be assigned.

2. Settings when acquiring a Lead


This is the setting for converting a Lead. Default values are not set, so be sure to apply the above recommended settings.
Foremost, set the mapping of the code information necessary to associate the business card information with the Account, Contact, or Lead.
 

Setting Destination

For the object selected from the pulldown menu, you can set the search conditions for the association destination and transfer settings for the business card information.

When you click the「一括で関連づける」button on a business card object, items that meet the conditions specified here are displayed in the pulldown as candidates for linkage with business card data.
Items marked in red are required. For example, “Account” requires “Company name”, “Contact” requires “Name”, and “Lead” requires both “Company name” and “Name”.
Select the search condition based on how you use the system.
Optional items (such as phone numbers and websites) are interpreted as "AND conditions" when selected, so that the search candidates can be narrowed down.

Posting settings for business card information

Set mapping settings for each business card information to be posted to the Account, Contact, or Lead item.
Select the target object of the posting mapping setting from the 設定先 pulldown menu.



Settings Items Explained


1) Business card items
Business card data sent from Sansan.

2) Display all posting item candidates
This checkbox affects the following「転記先項目選択」.

3) Posting item selection
From the pulldown menu, select the item to which the business card data will be transferred.
Only recommended items are shown, but if you check「転記項目候補を全て表示」, all available items will be displayed.

4) Address consolidation setting
Place a check to add the data of the corresponding item after the above item and post it.
Business card information transferred from Sansan is segmented into prefecture, city/town/ward, street address, and building name. Building name is not included in the standard Salesforce field, so by checking "building name" in the address consolidation setting, this can be added to the business card information.
To save the building name as a separate item, you can create custom items for accounts, contacts, and leads and set up linkage.

5) Post when creating (default)
When associating business card data, select which item to post when creating new Accounts, Contacts, and Leads. When you click the「一括で関連づける」button, the data will be transcribed based on this setting. When making individual associations from the business card detail screen, the information set here is at the "initial state". In the business card information posting setting screen, you can change the posting items individually from the initial state.

6) Post at update (default)
When associating business card data, when Accounts, Contacts, and Leads already exist and you will post (overwrite update), select which business card data item to post.
When you click the「一括で関連づける」button, the business card data will be transcribed based on this setting.
However, if you uncheck the「転記」item when batch associating, the posting will not be performed and only the association will be performed.
