With AI Search, some pages and settings under Admin Settings, as well as pages shown to general users, are changing.
This article explains the changes and what system administrators should review in advance.

1. Changes to settings (Sansan Labs settings → AI feature data access settings)
With AI Search, "Sansan Labs settings" under "Admin settings" will change to "AI feature data access settings".

- Page/screen name: "Sansan Labs settings" → "AI feature data access settings"
- Settings scope: Sansan Labs only → all AI features (including AI Search and Sansan Labs)
- Data accessed: Contact data only → contact data + report data
- Options: Automatically migrated to the new settings based on the current settings (no action is required)

2. What system administrators should review
Important: Report data will be added to data accessed by AI features
Until now, Sansan Labs analyzed only contact data, but after AI Search becomes available, AI features will also access report data.
- If access privileges among departments are not configured, all users can access all contact and report data (including data registered by users in other departments) through AI features.
- To restrict the scope of data access, select "Apply access privilege settings" in "AI feature data access settings". For details, see this help page.
Even for customers using access privileges among departments (access control), the scope of data accessed by AI features is determined by "AI feature data access settings". If "Do not apply access privilege settings" is selected, all users can access all contact and report data regardless of the configured access privileges among departments. Be sure to review your settings.

* Contact and report data is reflected in AI Search about 1 week after it is added/updated.
If you want to limit the users who can access contact and report data
With "Apply access privilege settings", you can select only one department that can access contact and report data.
If you want users in multiple departments to access the data, we recommend creating a department for AI features and assigning the relevant users to it as a concurrent department. For details, see this help page.
* AI Search itself (accessing online information and company information) cannot be restricted to specific users. This setting only restricts the scope of contact and report data that can be accessed.
Other points to check
- Chat history is automatically deleted 30 days after the last update.
- Before using AI features, review "Use of AI features" (Terms of Use and Guidelines).
3. UI changes for general users
With AI Search, the following changes will be made for general users.

4. Frequently asked questions (FAQ)
Settings and administration
Q. Why did the "Admin settings" page changed even though I didn't change any settings?
A. With the launch of AI Search, "Sansan Labs settings" are automatically migrated to "AI feature data access settings". Current settings are carried over to the new settings, so no action is required. See "1. Changes to settings" in this article for the mapping.
Q. What if I don't want AI features to access report data?
A. There is no setting to exclude only report data from access. Set reports you don't want accessed to private, or select "Apply access privilege settings" to restrict the scope of contact and report data that can be accessed.

Q. Will the scope of data accessed by AI features be the same as the current access privileges among departments (access control)?
A. The settings may not be fully synced with access privileges among departments. The scope of data accessed by AI features is controlled separately in "AI feature data access settings". For details, see "2. What system administrators should review" in this article.
- The department currently specified under "Customized scope of contact analysis and users" in "Sansan Labs settings" will be carried over as the target department for "Apply access privilege settings".
- If "Contact analysis function for all users" is selected, the setting will change to "Do not apply access privilege settings" (all users can access all contact and report data).
Q. What if I want only some users to use AI Search?
A. AI Search itself cannot be restricted to specific users. "Apply access privilege settings" can restrict the users who can access contact and report data and the scope of that data, but AI Search that accesses online information and company information can be used by all users.
Q. What should I do if I don't want AI Search to be used at all?
A. Please contact your sales representative.

Q. When can I use AI Search?
A. The feature will be rolled out gradually to eligible customers. System administrators will be notified by email about 2 weeks before it becomes available.

Q. I received the email for system administrators. What should I do?
A. Since there will be changes such as report data being added to the data accessed, see "2. What system administrators should review" in this article.
When using AI Search
Q. What if recently added contact or report content is not reflected in AI Search responses?
A. Contact and report data is reflected in AI Search approximately 1 week after it's added/updated. Recent additions/updates may not appear in responses.
Q. Where can I review past chats?
A. You can review them from "Chat history" on the left side of the page. Chat history is automatically deleted 30 days after the last update.
