Connect to Outlook

Overview

You can sync your Sansan contacts to Outlook by linking your accounts. When your contact info is updated in Sansan, it will automatically be synced to Outlook.

To connect to Outlook, you need to be using a Microsoft 365 plan that includes 'Exchange Online'. Both administrators and users need to setup.

 

Setup

1. For administrators

Hover over 'Administrator Settings' in the menu and click 'Integration with other services'. Then, open the 'Microsoft 365' tab.

 

Check 'Allow' and fill in tenant ID. Then, click 'Save'.
How to get your tenant ID

  1. Go to the Microsoft Azure portal page.

  2. Access the administration page for Microsoft Entra ID.

  3. Copy the tenant ID displayed under your company name.

*As authentication is required for each directory ID, settings for multiple directory IDs cannot be saved at the same time (save them separately).

 

2. For other Sansan users

Connect to Microsoft 365

Click 'Settings' in the menu bar, then click 'Microsoft 365' under '3rd party integration'.

 

Click 'Link' and authenticate Microsoft 365.

 

All of your contacts will be synced.

*Once you've connected, your Sansan contacts will be synced to Outlook every 30 minutes.

 

Disconnect

1. For administrators

Hover over 'Administrator Settings' in the menu and click 'Integration with other services'. Then, open the 'Microsoft 365' tab and disconnect.

*When you disconnect, all Sansan users' connections will be invalidated.

 

2. For other Sansan users

Click 'Settings' in the menu bar, then click 'Microsoft 365' under 3rd party integration and disconnect.

 

FAQ

Q. If you edit your contact info in Outlook, will it be reflected to Sansan?

No.

 

Q. What happens if you import a contact from Sansan that already exists in Outlook?

When we sync your Sansan contacts to Outlook, we create a folder called 'Sansan' and save contacts in that folder. We wont interfere with any other folders, so your existing contact info will not be updated.

 

Q. Is there a way to tell in Outlook if contacts were imported from Sansan?

You can tell by checking the 'Sansan' folder.
You can also find out if they are a contact imported from Sansan by checking the personal notes for each contact, as there is a link to Sansan included.

 

Q.What contact info edited in Sansan will be reflected to Outlook?

When your contact info is updated in Sansan, it will automatically be synced to Outlook too. Your contact info in Outlook will be updated when the following happens
・When you manually edit your card data (anything other than notes and tags)
・When duplicates are combined
・When any card data is updated due to contact updates or colleague updates

 

Q. What should you do if IP address restrictions are set in Office365?

A. Contact us through the contact form. Be sure to enter "IP address request for Office 365 integration” as the subject.

 

Q. Even if you update your contact info in Outlook, will it be overwritten if that same contact info is updated in Sansan?

Yes.

 

Q. What should you do if you can't link to Outlook because it needs to be approved by an admin?

An admin for Office 365 needs to check 'yes' for "Users can consent to apps accessing company data on their behalf". You can access this from Microsoft Azure > Enterprise applications > User settings >Manage how end users launch and view their applications .

 

 

 

If the above message is displayed, please try the following

1. By granting access through Sansan

  1. Log in to Sansan with a Microsoft admin account.
  2. Hover over 'Administrator Settings' in the menu and click 'Integration with other services'. Then, open the 'Microsoft 365' tab.
  3. Once you connect, a Microsoft 365 authentication screen will appear.
  4. Select 'Consent on behalf of your organization' and accept.

 

 

2. By granting access on Microsoft Azure portal

  1. Sign in to Microsoft Azure portal as a global administrator.
  2. Go to the Microsoft Entra ID admin page.
  3. Select 'Enterprise Application'.
  4. Enter your Application ID or Application Name in the search box, and select the app.
  5. Select [Permissions] and click [Grant admin consent for “tenant name”].
